Submission Policy and Procedure

Submission Policy:

  • 1. The aim of the UAL Research Online is to provide a permanent record of the research output of the University and to maximise the visibility, usage and impact of this research through providing global open access through its website.
  •  
  • 2. Items may only be submitted to UAL Research Online by staff and current research students of the University of the Arts London.

    • 2a. Work submitted by research students should be peer reviewed, published work produced during their research and study. Research students are also invited to submit their PhD theses.
  •  
  • 3. Authors and creators may only submit their own work for archiving. These are referred to as 'depositors'.
  •  
  • 4. The UAL Research Online administrator verifies items submitted for the eligibility of authors/submitters, relevance to the scope of UAL Research Online, valid detail, layout and format, and the exclusion of spam.
  •  
  • 5. The validity and authenticity of the content of submissions is the sole responsibility of the depositor.
  •  
  • 6. Any copyright violations are entirely the responsibility of the authors/depositors.
  •  
  • 7. If UAL Research Online receives proof of copyright violation, the relevant item will be removed and deleted immediately.
  •  
  • 8. UAL Research Online reserves the right to remove and, if appropriate, delete items from the archive on the authority of the Research Standards and Development Committee.
  •  
  • 9. Items can be submitted at any time, although submission is encouraged at the earliest opportunity.
  •  
  • 10. Submissions will not be made publicly visible until any publishers' or funders' embargo period has expired.
  •  
  • 11. University of the Arts London staff with full-time or part-time contracts that contain a research dimension are required to submit their research outcomes* to UAL Research Online.
  •  
  • 12. University of the Arts London staff who have received support (financial, in-kind or other) from the University for a research project are required to submit their research outcomes* for that project to UAL Research Online.
  •  
  • 13. University of the Arts London staff or students who have received support from an external funding agency for a research project on condition that outcomes are available online are required to submit their research outcomes* for that project to UAL Research Online.
  •  
  • 14. Any qualifying staff who may be or wish to be included in the University's submission to the Research Excellence Framework (the next Research Assessment Exercise) should submit their research outcomes* to UAL Research Online.

* 'research outcomes' refers to actual outcomes and evidence of the outcomes (such as photographs of the artefact, exhibition, etc., url references, ISSN numbers, exhibition catalogues, etc.). For example, an authored book, edited book, chapter in book, journal article, PhD thesis, conference contribution, patent / published patent application, software, internet publication, performance, composition, design, artefact, exhibition, published research report for external body, confidential report for external body, devices and products, digital or visual media, scholarly edition, research datasets and databases.

Submission Procedure:

  • 1. The submitting member of staff should enter details of the research outcome* into UAL Research Online using their UAL login.
  •  
  • 2. The submitting member of staff should list and describe all items being submitted for entry (if in an appropriate digital format) to UAL Research Online.
  •  
  • 3. Once the research outcome* is entered into UAL Research Online it will be held in a buffer zone and an automatic email will be sent to the depositor to confirm that it is in 'Review'
  •  
  • 4. UAL Research Online staff will verify the submission for accuracy and sufficient metadata in conjunction with the depositor, and move the submission to the live archive when these are verified. An automatic email will be sent to the depositor detailing the item's location and URL.
  •  
  • 5. The College ADRs will periodically check items in the live archive, to confirm that the items conform to the University's definition of research. Approved material will remain online.
  •  
  • 6. If the deposited item is not approved as research, the Secretary of the College Research Committee will notify the depositor and UAL RO of its decision, and UAL RO staff will retire the item.
  •  
  • 7. The depositor may appeal the decision to College Research Committee.
